The order it happens in
- Finish every term. Every learning area needs a computed grade for every term the class runs. The overview's encoding progress shows what is still open.
- Recalculate. Grades → Recalculate year-end. Final grades, the general average and promotion status are computed from the term grades and stored. None of them is typed.
- Settle the incompletes. Any area showing INC is missing a term grade. Fix the term, then recalculate again.
- Record remedial marks. A final grade below 75 is a button on the Grades page: it opens the remedial class mark dialog.
- Release the last term's cards. Release cards → Run pre-flight check, clear the blockers, release.
- Take a copy. Grades → Downloads → build the Summary of grades. It is queued, appears in that panel when it is ready, and stays there so you can fetch it again.
- Carry the class forward, then close it. Class settings → Roll over, then Archive class.
Why the order matters
Archiving makes the class read-only, so anything you still want to change — a score, a signatory, a release — has to happen before it. Rolling over first is safest: the new class is a copy, and the finished year stays exactly as it was.
Archived classes stop counting against your class limit, so if the roll over is refused, archive the finished year and try again.
Kindergarten to Grade 3
Descriptive classes have no final grades, no general average and no promotion status, so there is no year-end recalculation. Close the year with Descriptors complete for the last term, release the Learner's Progress Report, then roll over and archive the same way.
